1. The most important thing
Recurnix is self-hosted. Your installation runs on your server against your database. We do not receive, store or have access to your customers' data. Their names, invoices, payment records and support tickets stay entirely with you.
This policy therefore covers only the data we hold about you, as a visitor to this site or as our customer. For the data you hold about your own customers, you are the controller and the Data Processing Terms explain why.
2. Who is responsible
Cerevonix FZ-LLC is the controller of the personal data described here. Registration number [company registration number to be inserted], registered address [registered address to be inserted]. Reach us at privacy@recurnix.com.
3. What we collect and why
| Data | Why | Lawful basis | Kept for |
|---|---|---|---|
| Name, email, company | To create your account and issue your licence | Performance of a contract | Life of the account plus 12 months |
| Billing details and invoice history | To take payment and meet accounting obligations | Contract and legal obligation | As required by tax law, typically 7 years |
| Support messages and tickets | To answer you | Contract and legitimate interest | 3 years from last contact |
| Licence heartbeat: key, install identifier, domain, version, IP | To confirm the licence is active and to understand which versions are in use | Contract and legitimate interest | 12 months |
| Contact form submissions | To reply to your enquiry | Legitimate interest | 2 years |
| Server logs including IP address | Security and abuse prevention | Legitimate interest | 90 days |
4. What the licence heartbeat does not send
This is worth stating explicitly because it is the one place our software talks to us. The heartbeat sends your licence key, a generated installation identifier, the domain your installation reports, the version number and the originating IP address.
It does not send your customer records, invoices, revenue figures, product catalogue, support tickets, credentials or database contents. It cannot: the software never reads them for this purpose.
5. Cookies and analytics
This website sets no analytics or advertising cookies and we do not use third-party trackers on it. The client area sets a session cookie and a security token cookie, both strictly necessary. See the Cookie Policy for the detail.
6. Who we share it with
We share personal data only with the service providers we need to run the business, listed on the Sub-processors page. We do not sell personal data and we do not share it for advertising.
We may disclose data where the law requires it, or to establish or defend legal claims.
7. International transfers
We operate from the United Arab Emirates and some providers are located elsewhere. Where personal data moves outside the region it originated in, we rely on the receiving provider's standard contractual clauses or an equivalent safeguard.
8. Your rights
Depending on where you live you may have the right to access your data, correct it, delete it, restrict or object to processing, receive a portable copy, and withdraw consent where consent was the basis.
Write to privacy@recurnix.com and we will respond within 30 days. There is no charge unless a request is manifestly unfounded or excessive. If you are unhappy with our response you may complain to your local supervisory authority.
9. Security
We use encryption in transit, two-factor authentication on administrative access, role-based permissions and audit logging. Our own client area is the same Recurnix software we sell, which means security work benefits both of us. See the Security page for how to report a vulnerability.
10. Children
Recurnix is a business product and is not directed at children. We do not knowingly collect data from anyone under 16.
11. Changes
We will post any change here and update the effective date. If a change is material we will tell account holders by email.
